How Do You Specify Structural Steel From Drawings to Delivery? A Builder’s Guide

Structural Steel Procurement Is a Process, Not a Single Decision

Buying structural steel for a construction project involves more steps than most procurement decisions. This guide walks through the complete steel procurement process from the builder’s perspective, from the moment you receive structural drawings through to the day the steel arrives on site and goes up.

Step One: Understand What You Have Been Quoted

When you receive a structural steel quote, read it carefully before accepting it. A quote for steel fabrication should specify: the sections included, the surface treatment, the delivery terms, the shop drawing scope, the fabrication standard and the documentation provided. A quote that does not clearly cover these items has exclusions that will surface as variations later.

Step Two: Issue the Order with the Right Information

When you place the order, the fabricator needs three things at a minimum: the accepted quote reference, the structural engineer’s drawings at a stage sufficient to commence shop drawing preparation, and the delivery date required on site. The delivery date works backwards through the lead time chain — it determines when shop drawings need to be approved, when fabrication needs to start, and when steel needs to be ordered from the distributor.

If you have other information that affects the fabrication — a specific surface treatment requirement from the specification, an access constraint on the delivery, a phased delivery requirement — include it in the order. Information communicated early is part of the planning; information communicated late is a variation or a delay.

Step Three: Engage With the Shop Drawing Process

After the order is placed, Cedar Steel’s drafting team produces shop drawings based on the structural engineer’s design drawings. You will receive the shop drawings for submission to the structural engineer for review and approval. Your role in this process is to ensure the engineer receives the drawings promptly and returns comments or approval within the timeline the fabrication programme requires.

If the engineer raises RFIs or requests revisions, communicate the responses back to Cedar Steel promptly. Every day an RFI sits unresolved is a day of potential fabrication time lost on the affected elements. On tight programmes, builder-facilitated communication between the engineer and the fabricator is one of the most valuable things you can do.

Step Four: Confirm Delivery Logistics

Before fabrication is complete and delivery approaches, Cedar Steel’s delivery coordinator will confirm the delivery details with you: the site address, the delivery time windows, any access constraints (truck size, road restrictions, site gate width), the lay-down area available, and the phasing of deliveries if the structure erects in stages.

If anything has changed at the site since the order was placed — a new road closure, a gate that has moved, a slab that has not been poured — communicate this to Cedar Steel before the delivery day. Delivery surprises cost crane time and programme.

Step Five: Prepare the Site for Delivery and Installation

Before the steel arrives, the site needs to be ready. Anchor bolt positions need to be surveyed and confirmed. The lay-down area needs to be clear. The crane setup position needs to be accessible. Other trades need to be notified of the erection zone requirements.

Cedar Steel’s installation coordinator will walk through the pre-installation checklist with you and confirm the site is ready before mobilisation. This is not bureaucracy — it is the practical step that determines whether install day runs smoothly or not.

Step Six: Manage the Installation Day

On installation day, Cedar Steel’s crew takes responsibility for the erection scope. Your responsibilities are: maintaining the exclusion zone below the crane swing path, managing access for deliveries, coordinating any other trades who are affected by the erection operation, and being available to make decisions if any site conditions differ from what was planned.

The builder’s site supervisor does not need to manage the erection — that is Cedar Steel’s responsibility. But the builder needs to be present and responsive so that any decision that requires the builder’s authority — an access issue, a scope question, an unexpected site condition — can be resolved quickly rather than causing idle crane time.

Step Seven: Receive and Sign Off the Work

When the steel erection is complete, Cedar Steel’s installation coordinator provides a handover note confirming the work completed and any outstanding items. If the project requires formal inspection documentation — for a certifier’s hold point, for a government or institutional client, or for your quality management system — Cedar Steel provides the relevant records.

The steel is now in the structure. The programme moves to the next stage.
